2. The personal data we process
Depending on how you interact with us, we process your name, email address, phone number, business name, website, correspondence, booking details, answers to appointment questions, order information, billing details and payment status. We also process newsletter subscriptions, preferences and unsubscribe records.
Website and marketing data may include IP addresses, device and browser information, referral sources, page visits, timestamps, cookie identifiers, ad click identifiers, conversion events and consent choices. With the relevant consent, email engagement data may include recorded opens and link clicks associated with your subscriber profile.
For an audit or assignment, we may access advertising and analytics accounts you authorise us to review. Where we process personal data on a client’s instructions, the client remains responsible for that processing and our separate data processing agreement applies.
We receive data from you, your interactions with our services, and providers that handle bookings, subscriptions, payments and consented marketing measurement for us. Please do not send sensitive personal information that is not needed for your enquiry.
3. Why we process data and our legal bases
| Purpose | Legal basis |
|---|---|
| Enquiries, bookings, audits and services | Performance of a contract or steps you request before entering a contract. For other business correspondence, our legitimate interest in responding to enquiries. |
| Paid newsletters, digital products and subscriptions | Performance of our contract with you. |
| Free newsletters and promotional emails | Your consent. You can unsubscribe at any time. |
| Individual email engagement tracking, marketing segmentation and personalised campaigns | Your specific, informed consent to the relevant tracking and personalisation. |
| Optional analytics, advertising measurement and remarketing | Your consent to the relevant purposes and recipients. |
| Billing and tax administration | Performance of our contract and compliance with legal obligations. |
| Security, abuse prevention and essential troubleshooting | Our legitimate interest in protecting our services, limited to the data reasonably necessary for that purpose. |
Marketing is a purpose, not a separate legal basis. We do not treat a booking, purchase, newsletter subscription or acceptance of this notice as blanket consent to tracking or sharing data with advertising platforms.
Information necessary to process a booking or order must be provided for us to fulfil it. Optional tracking consent is voluntary; declining it does not prevent access to the website or delivery of a purchased service.
4. Newsletters and ActiveCampaign
We use ActiveCampaign to manage subscribers, send newsletters and marketing emails, and manage marketing automations. It processes contact details, subscription status, preferences and relevant engagement data on our behalf.
Subject to your separate tracking consent, we record email opens using tracking pixels and link clicks using tracked links. We use those records to assess campaign performance and tailor subsequent marketing based on interests you have expressed. Open records are estimates and may be affected by email privacy tools. We do not activate individual engagement tracking or connect website activity to your subscriber profile unless you have given the relevant consent.
You can unsubscribe from promotional emails using the link in those emails or by contacting us. You can also withdraw email tracking and personalisation consent by contacting us; this does not require you to cancel a paid newsletter. Cancelling marketing emails does not automatically cancel a paid subscription. Essential billing and service messages may still be sent.
5. Cookies and your choices
Cookies and similar technologies can store or access information on your device. We distinguish strictly necessary functions from optional analytics and marketing. Strictly necessary cookies support essential operation, security and saving privacy choices. We ask for consent before activating optional analytics or marketing tracking.
Optional analytics and marketing categories are off by default. The first layer offers equally accessible choices to accept optional cookies, reject optional cookies or customise preferences. Consent is not inferred from scrolling, continued browsing or pre-selected options.
You can withdraw or change consent at any time through the website’s cookie settings. Withdrawal stops future optional tracking and related marketing data transmissions controlled by us. It does not affect the lawfulness of earlier processing. Clearing browser cookies alone does not communicate a withdrawal to every provider.
Use the cookie settings control on our website to manage browser tracking choices. For questions about your choices, or to withdraw consent for email tracking or server-side marketing processing, contact adriaan-dekker@hotmail.com . We communicate relevant withdrawals to providers where required.
Strictly necessary cookies support essential website functions and remembering your choices. Analytics technologies help us understand site usage. Marketing technologies support conversion measurement, attribution and remarketing. A cookie’s expiry on your device is separate from how long associated information is retained in a provider’s systems. Session cookies expire when the session ends; persistent cookies remain until they expire or are deleted. Cookie settings provide information about the technologies deployed on this website.
6. Google, Meta and conversion measurement
Google Analytics, Google Ads and Tag Manager
With your relevant consent, we use Google Analytics to understand website use and Google Ads to measure advertising results and provide remarketing. This can involve page visits, device information, online identifiers and conversion events. Google Tag Manager manages tags; the tags it loads may process personal data.
Google Enhanced Conversions
With consent to the relevant advertising measurement and data sharing, we use Google Enhanced Conversions to send first-party conversion information to Google to improve attribution. This involves hashing the user-provided identifiers collected through the relevant conversion, such as an email address or phone number, for matching with Google accounts. We limit the information transmitted to what is necessary for the configured measurement. Hashing is a security measure; the information is still personal data. The purpose is measuring conversions, and it does not itself authorise uploading customer lists for advertising audiences.
Meta Pixel and Conversions API
With your relevant consent, Meta Pixel measures website activity and advertising conversions and supports remarketing on Facebook and Instagram. Depending on the configured events, data can include page visits, purchases or enquiries, timestamps, device/browser details, IP addresses and advertising identifiers.
We use Meta Conversions API to send selected conversion events from our server or integration provider to Meta. Where configured, matching information can include hashed email addresses or phone numbers, along with event and technical identifiers. These transmissions are subject to the relevant marketing consent, including when no browser cookie is involved. Moving tracking to a server does not remove consent requirements.
Google and Meta may associate received information with information they already hold, subject to applicable consent, their service terms and your platform settings. We do not intentionally send sensitive personal information through advertising measurement tools.
For information about the providers’ handling of data, see Google’s Privacy Policy and Meta’s Privacy Policy . Where joint responsibility applies to collecting and transmitting Meta Business Tools data, the applicable Meta Controller Addendum sets out the responsibilities. You can contact us about your rights concerning our collection and transmission; Meta is responsible for its subsequent processing under the applicable arrangements.
7. Who receives your data
- ActiveCampaign: newsletter delivery, subscriber management and consented marketing automations and tracking.
- Calendly: appointment scheduling and booking communications.
- Plug&Pay and the payment provider identified at checkout: orders, subscriptions and payment processing.
- Google and Meta: the consented analytics and advertising functions described above.
- Microsoft: email communications through our Hotmail contact address.
- Hosting, IT, accounting and professional service providers: where necessary to operate our business or deal with a legal matter.
- Authorities: when disclosure is required by law.
We put appropriate processing agreements in place with providers acting on our instructions. Some providers act as independent controllers for particular activities. ActiveCampaign’s own website privacy policy does not replace this notice for subscriber data it processes on our behalf.
8. International transfers
Our providers may process information outside the European Economic Area, including in the United States. International transfers require an applicable adequacy decision or appropriate safeguards, such as European Commission standard contractual clauses and additional safeguards where needed. You can contact us to request information about the safeguards or a copy of the relevant provisions.
The safeguards depend on the provider and the transfer. An adequacy decision is used only where it covers the recipient and the processing. Otherwise, the appropriate contractual and other safeguards must apply. We do not treat acceptance of this policy as consent to an otherwise unprotected international transfer.
9. How long we keep information
We retain information only for as long as necessary for the stated purpose and applicable legal obligations, then delete or anonymise it. A specific dispute or legal requirement may justify retaining relevant records longer.
| Information | Retention |
|---|---|
| Enquiries and bookings without a subsequent engagement | Until the enquiry or booking and any related follow-up have been completed, unless relevant records are needed for an engagement, legal obligation or specific dispute. |
| Client files and service records | For the duration of the engagement and afterwards only to meet accounting obligations, complete outstanding matters or establish, exercise or defend legal claims within the applicable limitation period. |
| Tax and accounting records | Generally seven years under Dutch tax rules; longer where a specific statutory requirement applies. |
| Subscriber data | While your subscription is active. Following termination, we remove or anonymise data no longer needed, retaining only records required for billing, legal obligations, demonstrating consent or respecting your unsubscribe choice. |
| Consent and unsubscribe records | Consent evidence is retained while we rely on that consent and afterwards where needed to demonstrate compliance or resolve a claim. A minimal suppression record may be kept while we operate the relevant mailing service to prevent contacting you again. |
| Email engagement, analytics and advertising data | Only while necessary for the relevant campaign reporting, attribution or consented personalisation. We review whether identifiable records remain necessary and delete or anonymise them when they no longer serve that purpose. Withdrawal ends future consent-based processing; deletion requests are handled under your rights below. |
| Cookies, security logs and backups | Cookies remain for their configured session or expiry period unless deleted earlier. Security logs are retained while needed to identify and investigate incidents. Backups rotate through the applicable recovery cycle; data awaiting removal from backups is not reused for marketing. |
10. Security
We take technical and organisational measures appropriate to the risks to protect personal information against unauthorised access, loss and misuse. Access is limited to people and providers who need the information for their work.
11. Your rights and how to contact us
Subject to the applicable conditions, you can request access, correction, deletion, restriction of processing and data portability. You can object to processing based on legitimate interests and object at any time to direct marketing, including related profiling. You may withdraw consent without affecting the lawfulness of processing carried out before withdrawal.
Send requests to adriaan-dekker@hotmail.com . We may ask for proportionate additional information where necessary to confirm your identity. We normally respond within one month. If a request is complex or there are multiple requests, we may extend this by up to two further months and explain the reason within the first month.
You can complain to the Dutch Autoriteit Persoonsgegevens or the competent supervisory authority, including in the EU country where you live or work.
Consent-based segmentation and remarketing can influence the marketing content and advertisements you see. The marketing segmentation described here is used to tailor communications and advertisements, not to determine contractual rights or access to essential services.
12. Changes to this notice
We may update this notice when our services or data processing change. The current version will appear on this page. We provide additional notice of material changes and obtain new consent where required.
